Email templates are preconfigured email messages to be used for email notifications. These are referred to in workflow steps to support sending emails to interested parties, whether that be a progress update or to advise the user than action is required of them.
Email templates ensure the messaging is consistent across all types of recipient. The template can comprise static content and dynamic content.
Email templates are created from the Email templates dashboard
This page can be accessed from the Configuration workbench. From the menu, select 'Config Workbench' under the 'Administration' section.
From the configuration workbench, select 'Email Templates' from the 'Server Configuration' section.
Email templates can be copied which may be less time consuming than starting a new one from scratch.
Select an existing template from the Email templates dashboard
This page can be accessed from the Configuration workbench. From the menu, select 'Config Workbench' under the 'Administration' section.
From the configuration workbench, select 'Email Templates' from the 'Server Configuration' section.
Click on an email template (either the id to the left or the drill-down arrow to the right), to open the Email Template Editor
Using the drop-down menu within the editor it is possible to copy a template to a new one.
Email templates can be updated. Navigate to the Email templates dashboard and click on the email template to be updated.
Changes to email templates only apply to emails sent subsequent to the change. To help determine the impact of changes, the Email Template Editor includes a tab 'Used By' which shows all the places where the email template is used elsewhere in the platform.
Email templates can be deleted once they are no longer required.
All dependencies on the email template must be removed prior to being able to delete it. Navigate to the Email templates dashboard to select the email template to be removed.
From the menu, select 'Config Workbench' under the 'Administration' section.
From the configuration workbench, select 'Email Templates' from the 'Server Configuration' section.
Click on an email template (either the id to the left or the drill-down arrow to the right), to open the Email Template Editor
Click on the 'Used By' tab to check for any dependencies
Using the drop-down menu within the editor select 'Delete' to delete the template.
