This page provides a comprehensive overview of the programme including basic information, escalations, health, costs, team, timelines and contents.
The circle shows the RAG status of the most recent status report. Click on this to bring up the programme reports page which will show the status of reports submitted at both the programme level and those of entities that are in the programme contents. New status reports can be submitted from the programme reports page if the person has the authority to do so.
The date in the top right of the content area represents the date of the most recent report.
The contents bar (beneath the circle) shows the health of the entities in the programme contents. The health of these entities is based on their individual status reports.
This content area shows risks, issues and scope changes raised against an entity in the programme contents and which have been escalated to programme level.
Click on the risk, issue or changes icon to view a more detailed analysis
This content area shows commitment dates that have been missed. These comprise:
Milestones: Overdue milestones in the plans of entities making up the programme
Issues: Programme issues or issues against entities in the programme contents where the due date or next review date is overdue.
Risks: Programme risks or risks against entities in the programme contents where the due date or next review date is overdue.
Click on the milestones, issues or risks icon to view a breakdown of the items that are overdue.
Governance: Click on this to change any of the programme attributes such as the name or programme manager. The governance page can also be used to collaborate about the programme via comments and also to view an audit trail of changes.
Comments: Click on the comments icon to collaborate about the programme by adding comments.
History: Click on the history icon to view changes
Workbook: Click on this to open the programme workbook. The workbook shows a summary of milestones, resourcing and financials at programme and programme content level.
This content area provides a visual overview of rolled-up financial data for the programme.
The costs are summarised for both the current fiscal year and the lifetime of the programme.
Click on the ‘Drill-down’ arrow to access the financials page of the programme workbook. From here it is possible to view and access the financial summary for each of the entities in the programme.
This content area provides a Gantt view of milestones both at programme level and for the entities in the programme contents.
Click on the ‘Drill-down’ arrow to access the programme plan workbook. From here it is possible to view the full overview of the plan, combining the programme plan and plans for the entities in the programme. It is also possible to edit the plan at both programme level and for each of the entities in the programme.
This content area provides a summary of programme resourcing for the coming weeks, showing where there is capacity and where this is under-capacity or risk of under-capacity.
Click on the ‘Drill-down’ arrow to access the resourcing page of the programme workbook. From here it is possible to view and access the resource plan for each of the entities in the programme.
This content area provides a summary of the programme team.
Click on the relevant icon to add team members be they managers, team-members, sponsors or approvers.
This content area shows the contents of the programme and their timelines in either a Gantt or table view.
Click on the ‘+’ icon to bring up the ‘Add Content’ window. In the ‘Add Content’ window use the filter criteria above the column headers to filter the list of entities to select. Use the checkbox to select one or more entities and then finish by clicking on the ‘Add Content’ button to return to the overview page.
Click on the ‘Table’ icon to the right of the ‘+’ icon to switch to table mode.
To remove content from the programme, click on the 3 dots to the right of the entity to be removed. Next click on the ‘bin’ icon to remove it. The ‘bin’ icon does not delete the entity, it simply removes the association with the programme.
Click on the ‘Current RAG’ circle in the ‘Health’ content area to open the programme reporting page. The programme will display at the top of the list. If you are the manager of a programme there will be a ‘+’ icon to allow the creation of a programme report (if one hasn’t already been submitted for the period).
To close a programme, click on the orange ‘Close’ button at the top right of the screen.
Q: I can’t see my entity in the list when trying to add it to the programme.
A: The add content page may not be showing the full list of entities. Click on ‘Show Max’ to view the full list.
Q: Can I add an entity to more than one programme?
A: It is possible to add an entity to more than one programme. Be aware, however, that if 2 programmes containing the same entity are added to the same sub-portfolio there will be duplication of costs.
Q: How do I remove an entity from the programme contents?
A: To remove content from the programme, the 3 dots to the right of the entity (in the programme contents) to be removed. Next click on the ‘bin’ icon to remove it. The ‘bin’ icon does not delete the entity, simply removes the association with the programme.
Q: How do I add/amend programme level costs and assign resources at programme level?
A: We recommend creating a project entity within the programme to capture programme level costs and resourcing requirements.
Q: · How do I run a programme status report?
A: Click on the ‘Current RAG’ circle in the ‘Health’ content area to open the programme reporting page. If you are the manager of a programme there will be an option to submit a programme status report.
