This page is used to create a new person in The Anywhere platform. A person is anyone who either needs to use the system and/or who should be considered a resource available to carry out work managed in the Anywhere platform.
To access this page, select People from the Users and Groups section of the Administration center. The Administration center can be reached from the Administration section of the pull-down menu.
Click on the '+' icon to create a new person or click on an existing person.
When creating a new person, the summary section will be in edit mode. All fields are mandatory:
If the user has the relevant access rights to edit person details this page will open in edit mode.
Refer to the table in the section above for details of each of the fields.
Click on Save once changes have been made
Existing person records cannot be deleted as doing so would impact the referential integrity of the data.
Once a person is no longer with the organisation, the 'End Date' should be set and once this passes the 'Active' flag should be unchecked.
Setting the end date and the active flag does not automatically remove allocations beyond that date. It is recommended to use the Resource Balancer to check for and, if necessary, remove any existing allocations.
In order to comply with an organisation's data retention policies for personal data, it may be a requirement to anonymise person records to remove personal data. Personal data includes attributes that can be used to identify an individual for example their email address.
To anonymise data, simply update the personal data to something that can no longer identify the person. These changes will impact all of the audit trails across the platform so that any transactions carried out by that person will still be shown, but no longer with their actual name.
Q: When saving the user details, some of the access grants do not get saved. Why?
A: During the save, the assigned access grants are checked against the access subscription assigned to the user. If the access grant is not part of the subscription type, that grant will be removed. To resolve this, ensure that the user has the correct Access Subscription. Refer to the Subscription Model for further details.
