Timesheets are used to record time spent on activities for example projects, services or miscellaneous items such as holidays.
Timesheets follow a defined process:
Creation
Submission
Approval
Freezing
Timesheets that are rejected during the approval stage can be reworked prior to resubmission. Timesheets cannot be changed once they are frozen.
It is not necessary to wait until the end of the time period to record time. Timesheets can be created and updated regularly and then submitted once all time for the period has been entered.
Timesheets can be created by navigating to the Timesheets Dashboard which is available from the flydown menu under the ‘Time’ category.
To view previously entered timesheets, navigate to the Timesheets Dashboard or access via the flydown menu under the ‘Time’ category. This page will show any existing timesheets. Clicking on any one timesheet will open it for viewing, updating (depending on status) and submitting (depending on status).
To view all timesheets for your team, navigate to the Timesheet Approval page or access via the flydown menu under the ‘Time’ category.
To find your existing timesheet navigate to the Timesheets Dashboard or access via the flydown menu under the ‘Time’ category.
Depending on the status of the timesheet it will be possible to change it.

Depending on the status of the timesheet there will be an action button to submit it for approval.
During submission, the time sheet will be checked to ensure it meets the rules defined in the associated time policy
Users entering timesheets must adhere to the policy assigned to them which governs rules such as maximum hours and minimum hours. Policies are defined by your organisation and can be viewed from the time sheet details page. The rules do not apply until the point of submission for approval allowing timesheets to be initially created with only a small number of hours and then be progressively updated until the point of submission.
Users are assigned a time policy by adding them to the security group associated with the time sheet policy. If the user does not belong to a group on one of the time sheet policies, the default policy will be applied.
Time policies are managed from the Timesheet Policies Dashboard or access via the flydown menu under the ‘Admin’ category.
Organizations can optionally define time sheet activities which serve to provide more detail about how the time is spent. The time policy defines which categories of time reporting require this additional detail. Where this detail is required, the time sheet will not be submissible until it is specified on the timesheet line.
Activities are defined by Administrators through the Activities page or access via the flydown menu under the ‘Time’ category.
Depending on the business rules defined in your organisation it may be possible to delegate time sheet creation and submission to another user.
If a person has been delegated responsibility for time reporting for another person(s), they will have the option to select which person the time sheet is to be created for at the point of creation.
To delegate time reporting for a user, navigate to that user’s detail page and complete the field ‘Time Sheet Delegate’ on the User Data tab. If no field is present, then delegation is not supported by your organization.
Users who are the direct manager of a resource will be responsible for approving the overall time sheets submitted by that resource (unless the associated time policy is set to auto-approve).
Line-level approval may be required for time reported to an entity where that type of entity requires time approval. An example of this might be a project manager wishing to approve all time reported to a project that they manage.
Users who are responsible for approving time sheets should navigate to the Approve Time page or access via the flydown menu under the ‘Time’ category. From this page it is possible to approve individual timesheets or mass approve multiple timesheets. Refer to the page level help for further details on how to do this.
If a user is associated with a time policy that is set to auto-approve, then the time sheet will be marked as approved as soon as it is submitted.
Users who are responsible for freezing time sheets should navigate to the Approve Time page or access via the flydown menu under the ‘Time’ category.
From this page it is possible to freeze individual timesheets or mass freeze multiple timesheets. Refer to the page level help for further details on how to do this.
