This page shows the portfolio hierarchy and allows many functions from directly within the page, for example adding contents and viewing portfolio status reports.
If a portfolio contains entities it will have a ‘+’ or ‘-‘ to the left of the portfolio name. Click on this to expand or contract the portfolio.
To Expand or Collapse the whole tree, navigate to the top of the page and click on the ‘Expand All’ or ‘Collapse All’ link just below the title.
By default, the portfolios page opens in Gantt mode, showing the timelines.
Click on the table icon in the header cell of the first column to switch to table mode. This will show detail such as start and end dates and financial data (Budget, EAC, Costs and Benefits)
When in table mode, click on the Gantt icon to switch back to the Gantt chart
By default, the portfolios page opens for the current fiscal year
Click on the year drop-down in the header cell of the first column to switch to select a different fiscal year.
By default, the page displays in monthly intervals.
Use the drop down to the right-hand side of the table header to switch to a different interval.
Each entity in the portfolio has an associated icon to indicate what type of entity it is (Portfolio, Proposal, Project, Service, Programme). Hover over the icon to see the type of entity.
Click on the ‘+’ icon to the top right of the page to create a new portfolio. Select a portfolio type which will determine the attributes to be collected. By default, the attributes are those shown in the table below:
When done, click on ‘Create New Portfolio’
Click on the 3 dots to the right of the portfolio and select ‘Add’. This will display a pop-up window where you can add one or more entities to the portfolio contents. The pop-up ‘Add Content’ window also supports creation of new entities. Click on ‘Create New’ to add a new entity.
Alternatively click on a portfolio to open the pop-up details window and then click on the drilldown (right-hand) arrow to open its overview page. Contents are added from the Portfolio Contents section in the overview page.
Click on the 3 dots to the right of the portfolio and select ‘Copy’. This will display a pop-up window where you specify the attributes for the copied portfolio. Refer to the section Creating a portfolio for details of the portfolio attributes.
Copying a portfolio does not copy all the entities beneath that portfolio.
Click on the 3 dots to the right of the portfolio and select ‘Archive’. A pop-up message will be displayed asking the user for confirmation that they wish to archive that portfolio.
Once a portfolio is archived it will no longer show in the hierarchy by default. Click on ‘Show Archived/Closed’ at the top of the hierarchy to include archived/closed portfolios
By default, the portfolio hierarchy will not include portfolios that are closed/archived.
Click on ‘Show Archived/Closed’ at the top of the hierarchy to include archived/closed portfolios
Click on the 3 dots to the right of the portfolio and select ‘History’. A pop-up message will be displayed showing the history of changes and comments to the portfolio.
Portfolio status reports are created from the portfolio overview page.
Click on a portfolio to display the pop-up details window. Then click on the drilldown (right-hand) arrow to display the overview page.
From the overview page there will be a link to create a status report for the portfolio.
Click on the 3 dots to the right of the portfolio and select ‘Reports’. A pop-up window will be displayed showing previous status reports. Click on ‘View Report’ in the list to view the report.
The portfolio hierarchy can be exported to Excel. Click on the right-hand arrow icon in the header cell of the first column (next to the table/gantt view icon).
The data is always exported to Excel in the same format as when displaying the hierarchy in ‘Table Mode’.
